No 05-06 file maintenance until after the first notification list is out, and no
05-06 Vouchers until August.
RETURNING FUNDS
Please address refunds to Nancy Wilkison, or mention on the outside of
the envelope that this is a refund.
This is the second year of the biennium so processing refunds in a timely manner is important. When
returning funds, please include the following:
Student first and last name
In order to process refunds we must have this information. If the information is not
provided, the refund is held-up. Please call the grant specialist for assistance if needed!
Student’s SSN
Disbursement Code (type of refund)
Your 3 digit HEAB school code
Academic year and semester of award being returned (Or HEAB voucher number)
Check number and date of check being sent back to HEAB (Not the # and date of original award check
unless it’s the same check being sent back.)

AES NOTIFICATION LIST PROCESSING

Return of Funds: We are working on our "Return of Funds" policy at the recommendation of the Legislative Audit Bureau. There is a lot of confusion about our current policy, which I have included in full at the end of this memo. Our current policy begins with:
End of Emailed Notification Lists: Beginning May 1, we will no longer email notification lists - they will only be available on SECURE HEAB. Lists are available the day after processing, and are usually in your folders by noon. Files include a date, so you will be able to tell if it is a new file or one you’ve already downloaded.

HEAB conducts one-day training programs for new and continuing financial aid administrators. The training session covers all aspects of the programs administered by HEAB, including:
The program begins at 10:00 a.m. and ends no later than 3:00 p.m. It is held at the HEAB offices at 131 W. Wilson St, Suite 902, Madison, WI. We have room for up to 6 people at each session.
