Dear Colleagues,
- The 1997-98 formula adjustments are now complete. I would like to thank the system
administrators and student financial aid administrators for their assistance during this conversion.
Your input was very helpful.
- With the conversion came a few unintentional changes. For example, some TIP awards
were converted to $1,800 on the December notification lists. Sandy Dercole has asked that you refer
to the most recent TIP recipient list that she sent out until the amounts are corrected on our
1/20/98 notification list. There were also a number of $90 WTC WHEG awards that were reflected on
the 12/16/97 notification list for students who are not eligible for WHEG funding. These awards have
been removed and will not be reflected on the 1/6/98 notification list. 1997-98 notification lists
and other associated reports were printed 12/2/97 (mailed to UW schools 12/3/97); 12/5/97 (mailed to
UW and Independent schools 12/6/97); and 12/16/97 (mailed to all schools 12/17/97.) January print
dates have been scheduled for 1/6/98 and 1/20/98. Please continue to cross reference your student
record data with the notification list information.
- January's vouchering jobs have been scheduled for Tuesday and Friday nights. Please
be aware that we cannot guarantee that your request can be loaded on the same day it has been
received if the information arrives after 3PM. Keep in mind that it takes two to three business days
after the vouchering process runs before checks are physically printed. Contact me if you have any
questions. It is very important that you request funds for students who are registered or who you
know will indeed be attending your school. This will assist in reducing the number of refunds that
are processed. Please refer to your October Monthly Memo, under point
three, which references what must be included when submitting refunds to HEAB and the timeframe in
which funds must be returned. PLEASE RETURN REFUNDS AS SOON AS POSSIBLE, ESPECIALLY FOR SOME OF THE
SMALLER PROGRAMS IN WHICH REFUNDS APPEAR TO BE DOWN. This will ensure that available funds are spent.
- We are in the process of reviewing the value of the "report codes" and "processing
codes" that are found on the notification lists. Apparently different schools use them for different
purposes. Some schools do not use them at all. We are considering changing these codes and/or
elimiminating them.
QUESTION: Does your school use them? If so, in what way? Please respond by 1/31/98.
- Just a reminder that our general HEAB email address that all file maintenance changes,
adds, and voucher requests should be sent to is:
